Liability
Washington State Fair, Washington State University, the show management, nor any member of the above named will be responsible for any guaranteed number of participants, nor for any injury, loss or damage that may occur to the vendor or the vendor’s employees or property from any cause whatsoever. The vendor, upon registering online, expressly releases the aforementioned from any and all claims for such loss, damage or injury. The vendor floor will be locked during the time that booths are not being shown and all reasonable precautions will be taken for security. The online registration for a vendor booth will become an agreement between the registering vendor and Washington State University Professional Education. Vendors are liable for any damage caused to building floors, walls, or columns, or to standard booth equipment, or other vendors’ property.
Show Postponement or Cancellation
In the event of postponement or cancellation for any cause beyond its control, Washington State University will not be financially obligated or otherwise committed beyond the reimbursement of the booth rental fee paid on a pro-rated basis.
Booth Cancellation
All cancellations must be emailed to show management (sewexpo@wsu.edu) before January 1, 2027. If the original payment was by credit card, the 3.5% credit card fee will be deducted from the refund.
Taxes
Tax will be payable on sales made during the show. To obtain or reactivate UBI numbers, call 360-705-6741 or visit the Department of Revenue for more information. Washington state law provides that every person who shall engage in any business for which a tax is imposed under the Revenue Act shall obtain a Certification of Registration from the Department of Revenue. A Temporary Certificate of Registration may be issued to any person who operates a business of temporary nature. These certificates are issued without charge and are valid for the duration of the special event in which you are participating. State law requires that Expo collect UBI numbers before the show.
Rules
Our expo is built on the values of community, respect, and professionalism. We are committed to providing a friendly, welcoming, and safe environment for all attendees, vendors, and staff. By participating as a vendor, you agree to uphold the following expectations:
- Treat all attendees, fellow vendors, and staff with courtesy and professionalism.
- Keep your booth space inviting, respectful, and free from obstruction to foot traffic.
- Booth includes Eight (8) foot tall back wall and side walls in black fabric.
- Backs of display units or other unattractive display materials visible in neighboring booth must be covered.
- All tables must have tablecloths.
- Clearly display your company or booth name at all times with professional signage of at least 11” x 17” in size. Expo will provide one 11” x 17” sign in each booth. If vendor chooses to use different signage, it must be professional in look and meet this guideline.
- Accurately represent all merchandise or services within your booth.
- Be transparent with customers about your business and billing practices, including clear communication in writing of what company name will appear on their credit card statement. The company name that will appear on the credit card statement must be on your booth signage. This ensures attendees can accurately identify the vendor with whom they conducted business and facilitates any follow-up communication or inquiries.
- Respect personal space and body autonomy — no physical contact with attendees unless invited (e.g., handshake).
- Noise level from any demonstrations or sound systems will be kept to a minimum and will not interfere with others.
- Aisles must not be obstructed at any time. All sales, demonstrations or promotional activities must be conducted within the booth space and not extend above the eight (8) foot back wall.
- No vendor shall assign or sublet their space without permission of the 2027 Sewing & Stitchery Expo Show Manager and must show only goods manufactured or marketed by them in the regular course of business.
- All vendors agree that they are a sewing or quilting related business. The Sewing & Stitchery Expo Show Manager has the right to ask any vendor not accurately representing their company to leave.
- No vendor shall leave early. All vendors must not begin to break down until the Sewing & Stitchery Expo Manager deems it safe for vendors to drive on the property after the Expo closes on the last day.
- By registering online, the vendor agrees to abide by the terms and conditions of the agreement.
- All vendors agree to the following terms:
- We are a valid sewing-related business.
- The majority of products sold in our booth are raw products such as fabrics, materials, patterns, equipment, etc. to do sewing or needlework.
- Prohibited Conduct:
- Aggressive or high-pressure sales tactics, including:
- Blocking aisles or obstructing attendee movement
- Physically grabbing or touching attendees
- Following attendees after they leave your booth
- Intentionally removing or concealing your business name or signage
- Misleading or unclear billing practices (e.g., charging customers without visible branding)
- Harassment, discrimination, or intimidation of any kind
- Aggressive or high-pressure sales tactics, including:
Enforcement & Removal
Our event staff will monitor the expo floor and monitor security camera footage, including feedback received from attendees, vendors, and staff. Violations of this Code of Conduct may result in:
- Immediate removal from the event
- Forfeiture of vendor fees
- Exclusion from future events
- Referral or reporting to external authorities where appropriate
We reserve the right to take these actions to protect the safety and experience of our attendees and community.
